W-2s with wrong tax year

Many have commented on the issue of the 2025 tax version of Home and business printing W-2s  with the year 2024. I understand the updates eventually took care of the issue but I completed and mailed the W-2s to SSA. Does anyone have any suggestions to resolve? Customer service was of no help. Correcting will be messy!

Can you clarify if you are referring to Quick Employer Forms?  Quick Employer Forms (QEF) is primarily designed for electronic filing (e-file) of W-2 and 1099 forms with the SSA and IRS, not for generating paper copies for mailing. When using QEF, Copy A is transmitted electronically, meaning you do not need to mail paper copies to the SSA.  See Quick Employer Forms FAQs.

W-2s were prepared with TURBOTAX, printed and mailed to SSA. No electronic forms or filing was used. This is for a small business, 3 employees. I reviewed the numbers but completely missed the W-2 stating 2024 vs the correct 2025. The W-2s read as 2024. All the back up forms read as 2025. At least last year, the forms had a "DRAFT" watermark on them warning you not to use them until finalized.

While TurboTax Home and Business was updated to correct the issue in January, neither Home and Business nor Quick Employer Forms support W-2 corrections. 

 

The QEF FAQ recommends using SSA Business Services Online (SSA-BSO) for corrections. As a paper filer you cannot submit these forms to the agency electronically. Instead, you may use SSA-BSO to fill in the forms W-2c and W-3c, then print and mail them to employees and the agency. Confirm this treatment with SSA-BSO customer service before creating an account.


Relevant guidance from the IRS and SSA for filing your Forms W-2c and W-3c:


From the IRS instructions for Forms W-2 and W-3, the rules for paper filers: "If the original Form W-2 was permitted to be filed on paper and you filed on paper, then you must file on paper any Form W-2c correcting that form."


From SSA - Helpful Hints to Forms W-2c/W-3c Filing:

  • File Forms W-2c (Corrected Wage and Tax Statement) and W-3c (Transmittal of Corrected Wage and Tax Statement) as soon as possible after you discover an error. Also, provide a Form W-2c to the employee as soon as possible.         
  • To correct a Form W-2 you have already submitted, file a Form W-2c with a separate Form W-3c for each year needing correction.
  • File a Form W-3c whenever you file a Form W-2c, even if you are only filing a Form W-2c to correct an employee's name or Social Security number (SSN).            
  • Follow the General Instructions for Forms W-2c/W-3c
