TurboTax does not have your W-2.   W-2’s come from employers.  There is not a federal or national website that provides W-2’s.   If your employer is partnered with TurboTax to allow the W-2 data to be imported into the software you can do that---but you need the actual W-2 so that you can enter the EIN and the amount from box 1 to import the other data from the W-2---which just saves you the little bit of keying in of the other information.

Every 2023 W-2 that you received must be reported on your 2023 tax return, even if they are for small amounts.  Remember that each one of those W-2’s has your Social Security number on it, and that income was reported to the IRS by the employer.  You do not want to get in trouble with the IRS for under-reporting your income or have your refund delayed by having missing income.

ALL of your W-2’s must be entered on the SAME tax return.

Go to Federal>Wages & Income to enter a W-2.

After you enter the first one, you click Add Another W-2.

W-2's come from your employer, and they have until January 31 to issue it.  Some employers allow you to import the W-2 through the software, but for security reasons you still need information from the actual W-2 to import it. Some employers have payroll sites that will have your W-2. You might need to phone, drop in, email and/or snail mail an old employer to make sure they know where to send your W-2.

And….SAVE YOUR OWN W-2!  TURBOTAX DOES NOT SAVE IT FOR YOU.  TurboTax will not have a copy of it in your account and will not have an image even if you snapped a photo or imported it.  It is up to you to save it for your own records as stated on the back of the W-2.

If you are unable to locate the W-2, obtain from your employer or exhaust these avenues you can use your W-2 to create a Substitute W-2.  You will need the address and name of your employer.  Use the following steps first, then if necessary complete the substitute which will require your return to be mailed to the IRS.  You can do this is you have paystubs or other proof of your earnings.

Other steps you can take if you are unable to obtain a copy of your W-2 from your employer are listed below.

  1. Step 1: Contact your employer’s payroll provider.
    1. Did they use a service for preparing your wage statements?
    2. Info can often be found on your wage statement (paycheck stub).
    3. If the employer is no longer in business or you can not reach someone:
  2. Step 2: Call the IRS for assistance at 800-829-1040. When calling, be ready to give the following information:
    1. Your name, address and Social Security number.
    2. Your employer's name, address, city, state, zip code and telephone number, even if your employer has gone out of business.
    3. Dates of employment.
    4. An estimate of the wages you earned and the federal income tax withheld.
      • Your estimate should be based on your final pay stub of the year or earnings statement, if available.
      •  The IRS will call the employer or payroll provider and advise them to send you your W-2s.
  3. Step 3: Request or download Form 4506-T. You will receive W-2 transcripts which will have information reported by your employer to the IRS free of charge. The last four of the EIN will be present (not the full number)
    • This transcript is available for up to 10 prior years using Get Transcript Online or Form 4506-T.You may register to use Get Transcript Online to view, print, or download all transcript types listed below.
    • If you're unable to register or you prefer not to use Get Transcript Online, you may order a tax return transcript and/or a tax account transcript using Get Transcript by Mail or call 800-908-9946. Please allow 5 to 10 calendar days for delivery.

If you still want to file:  TurboTax will help you fill out a substitute w-2.  You will need your last paystub and employer information.

How to fill out a substitute W-2 (Form 4852)

  1. Go through the W-2 entry section and enter the information from your last paystub.
  2. On the follow-up pages look for the page titled "Do any of these uncommon situations apply to this W-2?"
  3. Select "Substitute form - I didn't get a W-2 from my employer and need to complete a substitute form."
  4. This will take you through the steps to complete the Form 4852 so you can file your return.
  5. Continue to follow the screens and enter all requested information
  6. See images below

If you have your W-2, the EIN is in Box b Employer Identification number.

To import your W-2:

  • We need the Box 1 amount from your W-2 or the year-to-date (YTD) gross income from your year-end pay stub.
  • In some cases, we may need the Box d Control Number from your W-2, but only if your payroll provider requires it.
  • How do I import or enter my W-2?

If the W-2 is not available, here are the steps to take to get your W-2.

  1. You can try to import it on TurboTax.  (See above).
  2. Contact your employer  Contact your employer to see if the W-2 has ben sent, and request a duplicate.
  3. Go online, many employers have an online service to provide document like W-2's.
  4. Contact the IRS:  If you could not get it from your employer you can contact the IRS.
    1. You can call toll-free at 1-800-829-1040 or contact a Taxpayer Assistance Center Local IRS Office.
    2. You can request a transcript
    3. You must provide your
      1. name,
      2. address, city and state (including zip code),
      3. Social Security Number,
      4. phone number,
      5. Employer’s name,
      6. address, city and state (including zip code), and
      7. employer's phone number
  5. As a last resort, if you have a pay stub you ban complete a for 4852 Substitute for Form W-2
